Purchasing and Inventory Officer
We are looking for a highly organized and multi-tasking Purchasing & Inventory Officer to manage stock and purchasing across Brau's UAE salon branches. The sPurchasing and Inventory Officer will be responsible for arranging stock, placing local and online orders, coordinating with suppliers, and conducting regular stock audits to ensure every branch has the right products at the right time.
This role is ideal for someone with strong attention to detail, excellent supplier-management skills, and the ability to keep multiple branches running smoothly with zero stock-outs and no over-ordering.
Key Responsibilities
Stock Management (3 Branches)
• Arrange and organize stock across all 3 branches to ensure tidiness, accessibility, and proper shelf labeling.
• Monitor daily stock levels at each branch and maintain accurate minimum / maximum stock thresholds.
• Transfer stock between branches as needed to balance demand.
• Ensure products are stored correctly to preserve quality (especially salon and beauty items).
Purchasing & Orders
• Prepare and submit stock orders based on each branch's needs.
• Place online purchases through approved websites and supplier portals.
• Negotiate prices, delivery times, and payment terms with local suppliers.
• Build and maintain strong relationships with vendors and source new suppliers where it benefits the business.
• Verify received goods against purchase orders and invoices; report any discrepancies, damages, or shortages.
Stock Audits & Reporting
• Plan and carry out regular stock audits (weekly / monthly) across all 3 branches.
• Reconcile physical stock counts with system records and investigate any variances.
• Maintain organized records of purchases, deliveries, invoices, and supplier correspondence.
• Prepare clear stock and purchasing reports for management.
Administrative Support
• Coordinate with branch managers and staff to understand product needs and resolve stock issues quickly.
• Keep purchasing files, supplier contracts, and pricing lists up to date.
• Support the accounts team with invoice matching, returns, and credit notes.
• Handle general administrative tasks as needed to support smooth operations.
Qualifications & Experience
• High School diploma minimum; Bachelor's degree in Business Administration, Supply Chain, or related field is a plus.
• 2+ years of experience in stock control, purchasing, or admin (experience in salon, beauty, retail, or multi-branch operations is highly preferred).
• Proven experience handling local suppliers and online purchasing platforms.
• Experience conducting stock audits and reconciling inventory records.
Skills & Competencies
• Highly organized with strong attention to detail.
• Ability to multi-task and manage priorities across multiple locations.
• Strong communication and negotiation skills (English required; Arabic is an advantage).
• Good working knowledge of MS Excel and inventory / POS systems.
• Trustworthy, accountable, and able to work independently with minimal supervision.
• Comfortable visiting all 3 branches regularly
Key Performance Indicators (KPIs)
• Zero stock-outs of essential products across all branches.
• Accurate monthly stock audit (variance under agreed threshold).
• On-time delivery of all purchase orders.
• Cost savings achieved through supplier negotiation and bulk ordering.
• Tidy, organized, and well-labeled stock areas in every branch.
What we're looking for
• 2+ years' experience in purchasing, stock control, or admin (beauty / salon / retail background is a big plus).
• Strong organization, multi-tasking, and follow-through skills.
• Confident dealing with suppliers — in person, by phone, and online.
• Good with Excel and inventory systems.
• Trustworthy, detail-oriented, and able to work across multiple locations.
• English required.
